Shipments
The Shipment Page is the central hub for managing all shipments within the system. It allows users to create, edit, view, and manage shipments, as well as generate labels for shipping.
Components
Shipment Controls:
+ Create New Shipment: Click this button to initiate the process of creating a new shipment. You will be directed to a new form where you can enter all necessary details for the shipment.
Create New Lot: This button allows users to create a new lot.
Search and Filter Options:
Shipment Number: Use this dropdown and text field to search for specific shipments by their unique shipment number.
Attention Name: Filter shipments by the name of the contact person or the person responsible for the shipment.
Status: Filter shipments based on their current status (e.g., Pending, Completed, Canceled). By default, the system applies filters to the following shipment statuses: Pending, Ready For Pickup, Pending Pickup
Pick Up Date: Set a specific date range to filter shipments based on when they were scheduled for pickup.
Created At: A date filter that allows users to search for shipments based on their creation date.
Created By: Filter shipments by the user who created them.
Search / Clear: After setting your desired filters, click Search to apply them. Use the Clear button to reset all filters and return to the full list of shipments.
Shipment List:
Shipment Number: Displays the unique identifier for each shipment. Clicking on the number will take you to the detailed view of that shipment.
Pro Number:.
Pick Up Date: The date when the shipment is scheduled to be picked up by the carrier.
Status: Shows the current status of the shipment (e.g., Pending, Completed, Canceled).
Destination: The destination address for the shipment.
Tracking Number: Displays the tracking number for the shipment, which can be used to track its progress after dispatch.
Until Delivery (Day): Indicates the estimated number of days remaining until the shipment is expected to be delivered.
Note: Any additional notes or comments related to the shipment.
Created At: The date and time when the shipment was created in the system.
Created By: The username of the person who created the shipment.
Action Buttons:
Edit: Allows users to edit the details of a shipment. This is useful if changes need to be made before the shipment is dispatched.
Cancel: This button cancels the shipment. Canceled shipments will not be processed further.
View: Opens a detailed view of the shipment, displaying all relevant information including items, packing lists, and shipping details.
Print Label: Click to generate and print shipping labels for the shipment.
Shipment Creation
The Create New Shipment page allows users to initiate a new shipment by selecting orders that are ready to ship. After selecting the desired orders, users can proceed to the next step to fill in the shipment details.
Components
Search and Filter Options:
DN Number: Use this dropdown and search bar to locate specific order (DN) numbers. This helps in finding orders that are associated with a particular DN number.
Attention Name: Search or filter orders by the attention name, which is the name of the person or contact associated with the order.
Search / Clear: Click Search after setting your filters to apply them. Use the Clear button to reset all filters and display the full list of available orders.
Order List:
DN Number: Displays the Delivery Note (DN) number for each order. This is the unique identifier for the order.
Expected Shipping Date: Shows the date by which the order is expected to be shipped.
Attention Name: The name of the person or contact associated with the order.
Status: The current status of the order (e.g., Ready to Ship, Partial Shipped).
Ship Address: The shipping address for the order.
Note: Any additional notes related to the order.
Order Selection:
Checkboxes: Use the checkboxes next to each order to select the ones you wish to include in the shipment. You can select multiple orders at once.
Selected Orders Panel: Located on the right side of the screen, this panel displays the orders you have selected.
Create Button:
- Once you have selected all the necessary orders, click the Create button. This action will take you to the next step, where you can fill in the shipment details such as carrier information, shipment method, and other relevant data.
Shipment Details
The Shipment Details page is where users can input and manage all the necessary information for a shipment, including shipment numbers, tracking numbers, pickup details, and more. This page is essential for finalizing shipments and ensuring that all relevant details are correctly captured.
Components
Info Section:
Current Status: Displays the current status of the shipment (e.g., Pending, Ready for Pickup). You can update the status by clicking the status button (e.g., "Ready for Pickup").
Shipment Number: The unique identifier for the shipment. This is automatically generated by the system.
Tracking Number (Optional): Enter the tracking number provided by the carrier. This is optional but recommended for tracking purposes.
Pro Number (Optional): A reference number provided by the carrier. This field is also optional.
Pickup Date: Select the date when the carrier is scheduled to pick up the shipment. This date is crucial for scheduling and coordination.
Pack Type: Indicates the type of packing used (e.g., Direct, Indirect). This helps in determining the handling requirements.
Total Weight (KG): Enter the total weight of the shipment in kilograms. You can use the Calculate button if the system supports auto-calculation based on the items.
Select Shipping Method: Choose the method of shipping from the dropdown (e.g., OTHER, UPS, FedEx, Internal). This field helps in coordinating with the selected carrier.
- Internal import is used for shipping out and then re-importing the same set of items back into inventory. This is a standard warehouse process in some regions, such as certain cities or states. For example, refurbished items might be shipped out and then re-imported as new items into a different warehouse.
Note (Optional): Any additional notes or instructions related to the shipment can be entered here.
Summary Section:
Location: Select the location where items are being prepared for shipping. This location typically represents the staging area or the final location in the warehouse where items are gathered before being dispatched.
Shipped Out Pallets / Boxes / Items: Displays the number of pallets, boxes, and items that have been shipped out as part of this shipment.
Total Lots: Displays the total number of lots included in the shipment.
Total Pallet / Total Boxes / Total Items: Shows the total number of pallets, boxes, and items associated with this shipment.
Order Management:
Order List: This section lists the Delivery Note (DN) numbers that have been associated with this shipment.
DN Number: The unique identifier for each delivery note.
Expected Shipping Date: The date by which the order is expected to be shipped.
Attention Name: The name of the contact person associated with the order.
Status: The current status of the order (e.g., Ready to Ship).
Ship To Address: The address to which the order will be shipped.
Note: Any additional notes related to the order.
Action Buttons:
- Delete: Remove the order from the shipment if it was added by mistake or needs to be excluded.
Lot Management
Search Bar:
Lot Number Dropdown: Allows users to select the criteria by which to search (e.g., Lot Number).
Search Field: Enter the lot number or other search criteria here to find specific lots associated with the shipment.
Search Button: Click this button to execute the search based on the entered criteria.
Clear Button: Click this button to clear the search field and reset the search results.
Lot Information Table:
Lot Number: Displays the unique identifier for each lot associated with the shipment. This is the primary reference for identifying lots.
Weight: Shows the total weight of the items in the lot. This is useful for tracking and logistical purposes.
Pallet QTY: Indicates the number of pallets included in the lot. This helps in understanding the volume and space the lot occupies.
Box QTY: Shows the number of boxes included in the lot. This provides further details on the packaging of the lot.
Item QTY: Displays the total number of individual items included in the lot. This helps in inventory management and ensuring the correct quantities are prepared for shipping.
Action: Provides options to manage the lot, such as viewing more details or removing the lot from the shipment.
Pallet Management
Search Bar:
Pallet Number Dropdown: Allows users to select the criteria by which to search (e.g., Pallet Number).
Search Field: Enter the pallet number or other search criteria here to find specific pallets associated with the shipment.
Search Button: Click this button to execute the search based on the entered criteria.
Clear Button: Click this button to clear the search field and reset the search results.
Pallet Information Table:
Pallet Number: Displays the unique identifier for each pallet associated with the shipment. This is the primary reference for identifying pallets.
Location: Indicates the location where the pallet is stored or prepared for shipping.
Dimension: Provides the physical dimensions of the pallet (length, width, height), which is useful for logistics and space management.
Weight: Shows the total weight of the items on the pallet, important for handling and shipping costs.
Box QTY: Displays the number of boxes placed on the pallet. This helps in understanding the pallet's contents.
Item QTY: Shows the total number of individual items placed on the pallet. This ensures all items are accounted for during the shipping process.
Box Tab Overview
Box Number Search:
Use the search bar at the top of the tab to quickly find specific boxes by their box number.
You can either type the box number or use the drop-down menu to select it.
Box Number:
- This column displays the unique identifier for each box in the shipment.
Location:
- This column shows the location where the box is currently stored or where it will be picked from for shipment.
Weight:
- The weight of the box is displayed here, providing critical information for shipping logistics.
Item Tab Overview
DN Number (Dropdown & Search Field):
The DN Number dropdown allows you to select the relevant Delivery Note for which you want to view the items.
Use the Search Number field to quickly find a specific DN by typing its identifier.
Search & Clear Buttons:
Search Button: Click this button after entering a DN number to populate the list of items associated with that Delivery Note.
Clear Button: Use this button to reset the search field and clear the results.
Item List Table:
WMS Number: Displays the WMS identifier for the item.
Serial Number: If applicable, shows the serial number assigned to the item.
SKU Number: The Stock Keeping Unit (SKU) number assigned to the item.
SKU Type: Indicates the type of SKU for easy classification.
SKU Description: A brief description of the SKU to provide additional context about the item.
UOM: Unit of Measurement, indicating how the item quantity is measured (e.g., EA for Each, PAIR, KG, etc.).
DN Number: The associated Delivery Note number.
BIN Type: refers to the categorization of items within the warehouse based on their status, purpose, or condition.
QTY: The quantity of the item that is included in the shipment.
Location: Indicates the physical location of the item within the warehouse.
Dimension: Shows the dimensions of the item if available.
Weight: Indicates the weight of the item.
Action Buttons:
Save: Saves all the information entered on the shipment details page.
Print Label: Allows you to print labels for the shipment, which include essential details like shipment number, tracking number, and more.
Remove Item: Removes selected items from the shipment if needed.
